Disco data collection


These terms explain what personal data we collect when you register for a Dementia Disco event, why we collect it, and what your rights are.

  1. 1. Data Collection

    We collect the following personal data from all attendees:

    • Full Name
    • Address
    • Date of Birth
    • Emergency Contact Details (Name, Phone, Relationship)
    • Dietary Requirements (e.g. allergies, preferences)

    You may also, at your discretion, choose to provide optional demographic information.

  2. 2. Purpose of Data Collection

    Your data is collected for two main purposes:

    • Safety: Your emergency contact and dietary information are crucial for ensuring your safety and well-being during the event. In the case of a medical emergency or a dietary incident, this information will be used by our staff and, if necessary, shared with emergency services.
    • Reporting: We use anonymised and aggregated data (e.g. average age, gender split, etc.) to create impact reports for our organisation. These reports help us understand our audience and improve future events. Your individual identity will never be disclosed in these reports.
  3. 3. Data Security and Storage

    We are committed to keeping your personal information safe and secure. All data is stored in a secure, password-protected database. Access is strictly limited to authorised staff members who require the information for the purposes stated above. We will take all reasonable precautions to prevent unauthorised access, loss, or misuse of your data.

  4. 4. Data Sharing

    We will never sell or rent your personal data, and we never share it with third parties for marketing or any other commercial purpose. We only share your information where it is necessary, lawful, and relevant:

    • Emergency services: In the case of a medical emergency, your emergency contact details and dietary requirements may be shared with emergency services.
    • Our staff and professional carers: Essential safety information is shared with our staff and any professional carers supporting the event (e.g. CareYourWay).
    • Funders: We report on the impact and reach of our work using aggregated, anonymised data only — you cannot be identified from these reports.
    • Social media: If you give explicit consent for photography or filming, images and videos may be shared on our social media channels.
  5. 5. Your Rights

    You have the right to request access to the personal data we hold about you. You also have the right to request that your data be corrected or deleted at any time. To exercise these rights, please contact us at hello@dementiadisco.org.
